How to create an email filter in Microsoft Outlook / Outlook Express


Microsoft Outlook and Outlook Express provide a functionality that allows you to filter out messages into different mailboxes depending on the content of the email received. This document explains how to setup and create these email filters. This is often handy if you have third party software that changes the subject or body of your messages depending on certain criteria (like it sees it as being spam email). This can also be used if you have multiple email addresses coming into the same email box then these filters can separate your individual email into different mail boxes within the same program.

Please note that due to program differences the instructions below may very slightly with your version of the program. These instructions were verified with Outlook Express 6.x and Outlook 2002.


Outlook: In the Outlook program, from the “Tools” menu select “Rules Wizard.” (See Figure 1b)
Outlook Express: In the Outlook Express program, from the “Tools” menu select “Message Rules” then select “Email.” (See Figure 1a)


Outlook: Click on the “New” button to begin the wizard. (See Figure 2a)
Outlook Express: Click on the “New” button to begin the wizard. (See Figure 2b)


Outlook: Select the option to “Move messages based on content” and complete the sentence describing the action in the Rule Description below by click on the blue text. You may need to create a new folder to move the content to. You will need to customize these rules depending on what the action is that you want to take place. Click on “Next” to proceed all the way through the wizard. When you are finished give the new rule a name and then click “Finish.” (See Figure 3a)
Outlook Express: Complete the questions in boxes 1 & 2 by selecting what you want this message rule to do. In rule box 3 you will need to click on the blue text to complete the actions you want the mail program to do. You may need to create new mailboxes to do what you want it to do. When finished give the rule a name and click “OK.” (See Figure 3b) Then click OK again.


Outlook / Outlook Express: When done click “OK.”
